Booking Conditions and Terms & Conditions of Participation
Welcome to Ambassador Leaders! Your participation in this program is accepted in accordance with your (or if you are under 18, your parent’s or legal guardian’s) acceptance of these Booking Conditions and the Terms and Conditions of Participation, so it is important that you read and understand these conditions before registering for the program.

What’s included in the Program Price
Program Price includes:
All scheduled activities, including program materials, facilitation and all entry fees related to the scheduled activities.
Certificate of completion, delivered by electronic means.
Local transportation once student arrives at the designated program site and for the duration of the program.
Overnight accommodations at a university dormitory, hotel, or conference center residence.
Three meals per day.
All taxes and gratuities levied by hotels, restaurants, vendors and local governments.
Program Price is in U.S. Dollars.
What’s NOT included in the Program Price
Travel from your home to and from the Program Site: Air or ground travel from your home to the program site is NOT included in the program price. You are responsible for arranging travel to and from the program site. We offer services to help you with your travel arrangements as listed below. If you have questions regarding planning your travel, please contact us.
Airport pick up and drop off: For students traveling independently, an Airport Pick up and Drop Off service is available from the designated program airport for $95 round trip fee. If you purchase this option, the program staff will pick the student up from the designated airport on arrival and provide supervised transportation to the airport on departure day. Guidelines for arrival and departure times will be provided after registration.
Unaccompanied Minor Service: If your child is flying independently, some airlines require that you purchase an Unaccompanied Minor (UAM) Service for children of a certain age. This service is provided by the airline and ensures your child is with authorized airline personnel from the moment they board the flight until they arrive at the date of their destination. The UAM service fee varies by the airline and is payable directly to the airlines.
Transportation deviation: A transportation deviation fee is incurred if arrival and/or departure point is not the designated airport (such as a train station or another nearby airport); or arrival and/or departure times are outside of the designated time guidelines provided, and the student requires individual pick up and drop off service. This service is available for $150 one way or $300 round trip.
Passports and Visas: Each participant is responsible for applying for and securing a passport and visa where necessary for international travel. International students will receive a letter of invitation from the program office to assist with obtaining US visas.
Personal Expenses: Items of a personal nature such as laundry, telephone and souvenirs are not included in the program price.
DEPOSITS AND PAYMENTS
To hold your space on program, a $300 deposit is required at registration, of which $95 is a nonrefundable registration fee. The entire deposit is applied to the total program price. Full payment is required at 60 days prior to program start date.
Registrations made between 90 and 61 days of the program start date will require a $1,200 deposit.
Registrations made at or less than 60 days prior to program start date must be paid in full at the time of registration.
Many of our families fundraise their tuition and we have flexible payment options. You may select one of these payment plans:
Pay in Full: If you select this option, you are choosing to pay the entire program tuition at the time of registration. This will occur in two transactions: the $300 deposit will be charged immediately; the remaining balance will be charged within 3 business days to your pre-authorized method of payment.
Automatic Monthly Payments: $300 deposit is due at registration. The remaining balance is divided by the number of months remaining until 60 days before the program and is automatically charged to a pre-authorized Credit Card or Checking Account. For registrations that occur in the first half of the month, payments are processed on the 1st day of the following month. For registrations that occur after the 15th of the month, payments are processed on the 15th of the following month.
Monthly Payments: $300 deposit is due at registration. The remaining balance is divided by the number of months remaining until 60 days before the program. You will receive an invoice each month prior to your payment due date with a link to pay and will be responsible for initiating payments either online or via a check.
Deferred Installment Plan: $300 deposit is due at registration. You will receive an invoice for the remaining balance to be paid in the following installments. (For registrations made less than 150 days before departure a custom installment plan will be provided based on the date you register.)
For returned payments a fee of $25 per instance will be assessed to reprocess payment.
travel protection plan
We know that sending your child to the Leadership Summit is a big investment for you and your family. We also know that life happens. For extra peace of mind, we have partnered with a travel insurance provider TripAssure to offer you Travel Protection Plan with Cancel for Any Reason Benefit.
The Travel Protection Plan can be purchased through Ambassador Leaders for $227, and can be used before and during travel to provide the following coverage:
Trip cancellation and interruption
Baggage and personal effects delay, loss or damage
Accident and sickness medical expense
And best of all - Cancel for Any Reason benefit

To purchase the Travel Protection Plan you may select it during online registration for the program, or to purchase after enrollment, fill out the Travel Protection Enrollment Form following the link above and email it to the program office.
refunds and cancellation fees
If you wish to cancel your registration, please provide notice in writing either via email or mail. Refunds are calculated based on when the cancellation notice is received by the program office. Please understand that accommodations and program activities are booked well in advance, and costs are incurred long before the program start date. Therefore, the refund and cancellation fee policy will apply as follows:
If another program is available, we will work with you to transfer your registration to that program. Additional fees may apply for transferring close to the program date and based on the price of the new program. Your payments are also fully transferrable to a sibling or a friend if they register for the same program.
terms and conditions of participation
Your participation in this program is accepted by Leadership Exchange, LLC, d/b/a Ambassador Leaders (“Ambassador Leaders”) only in accordance with, and expressly conditioned upon, your (and your parent’s or legal guardian’s if you are a minor) acceptance of these Terms and Conditions and the following statement of conditions and responsibilities: Ambassador Leaders acts only as an agent in securing accommodations, transportation, sightseeing, speakers, and other program services, and in no event shall Ambassador Leaders be liable or responsible in connection with or in respect to any acts or omissions of any third party, including, but not limited to, third-party contractors, suppliers, and vendors who render services in connection with the program. All accommodations, transportation, sightseeing, and other program services provided to participants are subject to all the terms and conditions under which they are offered to the public generally. Neither Ambassador Leaders nor its agents shall be liable for any loss, injury, or damage to person or property resulting from, but not limited to, government actions or restraints, disturbances, hostilities, war, epidemics, breakout of disease, quarantines, labor disputes, machinery breakdown, weather conditions, natural disaster, delays, accidents, personal injuries, annoyance or inconvenience, or any other cause beyond its control. Ambassador Leaders shall not be liable for any additional expense incurred by a participant as a result of any of the foregoing causes. Ambassador Leaders and its agents reserve the right to decline to accept or retain any person as a participant. Ambassador Leaders does not discriminate based on national origin, age, disability, gender, sexual orientation, or any other category protected by applicable law. If a participant has a health or mobility limitation, allergy, severe sight or hearing limitation, or any other medical condition that could restrict or substantially interfere with their ability to participate in the program, an aide will be required to accompany the participant. All travel and hiring expenses for the aide may be the responsibility of the participant, if needed, unless otherwise dictated by applicable law. The participant shall be solely responsible for monitoring and shall be able to self-administer, without supervision, any required and recurring medications, injections, or any other treatments. Program staff, teacher leaders, or any other third party will not hold or administer any medication or treatment that may be required for a participant. The contents of food products cannot be controlled or guaranteed during program. All special dietary needs or monitoring of the contents of food products are the responsibility of the participant. Should a participant’s health, physical infirmity, or general deportment, in the sole judgment of Ambassador Leaders and its agents, impede the operation of the program or the rights, welfare, or enjoyment of other participants, Ambassador Leaders and its agents have the right to terminate the participant’s participation, unless otherwise dictated by applicable law. In such instances a refund of unused services, where such refund can be obtained from Ambassador Leaders’ vendors, is the limit of Ambassador Leaders’ responsibility should the participant be required to cancel enrollment in the program. The participant (and parent or legal guardian if the participant is a minor) expressly authorizes and full consent is hereby given for (i) the participant’s participation in all activities provided and/or organized by Ambassador Leaders or its agents, (ii) Ambassador Leaders, and its employees, representatives, and agents in any emergency situation, illness, or accident to secure prompt medical care and attention, and the participant (or parent or legal guardian if the participant is a minor) understands and assumes the financial responsibility for any such medical services and treatment, and (iii) Ambassador Leaders, its subsidiaries, or affiliates and any medical provider or facility to receive, use, and/or release any health information of the participant and/or his/her parent or legal guardian. The participant (and parent or legal guardian if the participant is a minor) (i) expressly acknowledges risks and dangers exist while traveling to/from or participating in the program, including, but not limited to, risk of loss, personal injury, emotional trauma, death, and property loss or damage, (ii) hereby accepts and assumes these risks and dangers, whether or not specifically discussed, (iii) hereby waives and releases Ambassador Leaders, and its employees, licensors, licensees, agents, and representatives from all claims arising from, but not limited to, personal injury, loss, damage, accident, delay, or expense resulting from his/her participation in the program. This release of liability and assumption of risk agreement is entered into on behalf of you and all members of your family and party. This agreement also binds your heirs, legal representatives and assigns. The participant acknowledges and agrees that Ambassador Leaders and its agents shall have the right to contact the participant by means of telephone, cellular telephone, email, or other correspondence.
use of name and likeness
The participant (and parent or legal guardian if the participant is a minor) hereby consents and irrevocably grants to Ambassador Leaders (and its subsidiary, associated, and affiliated companies, including each of their respective officers, directors, agents, and employees), as well as certain third parties who we feel would be interested in recognizing your achievements, a royalty-free, worldwide right and license to use, incorporate, broadcast, distribute, photograph, film, videotape, record, reuse, publish, republish, exploit, adapt, modify, alter and/or edit, reproduce, publicly perform, and display his/her name, photograph, and photographic likeness, including still, moving and voice, image, comments, submitted documentation, written papers, biographical material, artwork, music, writing, endorsement, portrayal, and/or other visual or physical likeness, in all poses, acts, plays, and appearances, in whole or in part or composite or reproduction thereof, in any and all media now or hereafter devised (the “Materials”), in perpetuity by incorporating, without restrictions or limitation, the Materials into any product or service, whether electronically or in print, including, but not limited to, any marketing and advertising materials, publications, catalogs, brochures, books, magazines, photo exhibits, correspondence, motion-picture films, videotapes, commercials, informational or educational materials, and/or any other media, now known or later devised or developed.
USE OF personal information
To register in a program, you (or your parent or legal guardian on your behalf) will be required to share personal information with us, including, but not limited to, first and last name, home or physical address, telephone number, email address, school, grade in school, occupation, job title, and information about your job/occupation (“Personal Information”). We may retain and use that information for several purposes. For example, the uses may include, but are not limited to, sending you information about other programs, scheduling program activities for you, or creating a directory of participants in your program. We may share Personal Information collected with certain third parties, including, but not limited to, our parent companies, subsidiaries, third-party service providers, third parties who we feel would be interested in recognizing your achievements, and other participants in your program.
Any dispute, claim, disagreement, or controversy, in law or equity, arising out of or relating to: (1) the Terms and Conditions of Participation; (2) the Booking Conditions; (3) the invitation and registration processes; (4) the participant’s participation in all activities provided and/or organized by Ambassador Leaders or its agents; (5) the acts or omissions of Ambassador Leaders, its parent, subsidiaries, affiliates, employees, agents, and representatives; (6) the acts or omissions of participants or third parties; (7) the organization and delivery of the program; or (8) any other agreement, document, or provision of services, shall be governed by and construed in accordance with the internal laws of the state of Washington (without reference to its choice of law rules). Each of the parties hereto understand and agree that Washington law shall apply to any and all claims, disputes, and controversies, of any kind, arising between the parties, as well as between Ambassador Leaders and any nonparty that claims rights through any party, on behalf of any party, or in relation to any party. In addition, each of the parties hereto hereby irrevocably waives, to the fullest extent permitted by law, any objection that it may now or hereafter have to the application of Washington law to any action, suit, claim, or proceeding. Each of the parties hereto hereby irrevocably and unconditionally agrees that any action, suit, or proceeding shall only be brought in any federal and state courts located in Spokane County, Washington, and each party hereby irrevocably and unconditionally expressly submits to the personal jurisdiction and venue of such courts for the purposes thereof and hereby irrevocably and unconditionally waives (by way of motion, as a defense or otherwise) any and all jurisdictional, venue, and convenience objections or defenses that such party may have in such action, suit, or proceeding. Each party hereby irrevocably and unconditionally consents to the service of process of any of the aforementioned courts.
