Ambassador Leaders Terms and Conditions

By registering and/or participating in any summit or other program (“Program”) offered by Leadership Exchange, LLC d/b/a Ambassador Leaders (“Ambassador Leaders”),  you and your parent or guardian (if under 18) accept and agree to abide by these Ambassador Leaders Terms and Conditions (“Terms and Conditions”).

BOOKING CONDITIONS

What’s included in the Program Price

Program price includes:

  • All scheduled activities, including program materials, facilitation and all entry fees related to the scheduled activities.

  • Certificate of completion, delivered by electronic means.

  • Local transportation once student arrives at the designated program site and for the duration of the program.

  • Overnight accommodations at a university dormitory, hotel, or conference center residence.

  • Three meals per day.

  • All taxes and gratuities levied by hotels, restaurants, vendors and local governments.

Program price is in U.S. Dollars.

What’s NOT included in the Program Price

Travel to and from your home and the program site: Transportation expenses (including but not limited to air and ground transportation) to and from your home to the program site are NOT included in the program price. You are responsible for arranging your own travel to and from the program site. We offer services to help you with your travel arrangements as set forth below. If you have questions regarding planning your travel, please contact us.

Airport Pick Up and Drop Off:  For a student traveling independently, an Airport Pick Up and Drop Off service is available from the designated program airport only for an additional $95 round trip fee. If you purchase this option, the program staff will pick the student up from the designated airport on the date of arrival and provide transportation to the designated program airport on departure day. Guidelines for arrival and departure times will be provided after registration.

Unaccompanied Minor Service: If your minor child is traveling independently, some airlines require and charge fees for Unaccompanied Minor (UAM) Service for children of a certain age. This service is provided by the specific carrier (not Ambassador Leaders). The fee varies by each carrier and is payable directly to the carrier. You should check with the carrier for the details and costs of such services.

Transportation Deviation: A transportation deviation fee is charged if: (a) the arrival and/or departure point is not the designated airport (i.e., a train or bus station or another nearby airport); or (b) the arrival and/or departure times are outside of the designated time guidelines provided by Ambassador Leaders, and the student requires individual pick up and drop off service. This service is available for $150 one way or $300 round trip.

Passports and Visas: Each participant is responsible for applying for and obtaining a passport and visa at their sole expense where necessary for international travel. International students will receive a letter of invitation from the program office to assist with obtaining US visas.

Personal Expenses: Items of a personal nature such as laundry, telephone, clothing, snacks, personal travel and souvenirs are not included in the program price.

DEPOSITS AND PAYMENTS

To hold your space in a program, a $300 deposit is required at the time of registration, of which $95 is a nonrefundable registration fee. The nonrefundable amount increases as the program start date approaches, in accordance with the non-recoverable expenses Ambassador Leaders incurs on behalf of each participant. Refer to the Cancellation and Refunds section below.

The entire deposit is applied to the total program price. Full payment is required 60 days prior to the program start date.

Registrations made between 61 and 90 days of the program start date require a $1,200 deposit. Registrations made at or less than 60 days prior to program start date must be paid in full at the time of registration.

Many of our families fundraise their tuition and we offer flexible payment options. You may select one of these payment plans:

  1. Payment in Full: If you select this option, you are choosing to pay the entire program tuition at the time of registration. This will occur in two transactions: the $300 deposit will be charged immediately; the remaining balance will be charged within 3 business days following registration to your pre-authorized method of payment.

  2. Automatic Monthly Payments: If you select this option, the $300 deposit is due at registration and the remaining balance is divided by the number of months remaining until 60 days before the program and is automatically charged to a pre-authorized Credit Card or Checking Account. For registrations that occur in the first half of the month, payments are processed on the 1st day of the month. For registrations that occur after the 15th of the month, payments are processed on the 15th of the month.

  3. Installment Plan: If you select this option, the $300 deposit is due at registration and you will receive an invoice for the remaining balance to be paid in the following installments. You will be responsible for payments either online or via a check. For registrations closer to the summit dates these installments will be consolidated.

For returned payments a fee of $25 per instance will be assessed to reprocess payment.

travel protection plan

We know that sending your child to our program is a big investment for you and your family. For extra peace of mind, we have partnered with a travel insurance provider TripAssure to offer you Travel Protection Plan with Cancel for Any Reason Benefit

Althrough the Travel Protection Plan is offered by TripAssure, it can be purchased through Ambassador Leaders for $227. The Travel Protection Plan provides the following coverage:

  • Trip cancellation and interruption

  • Trip delay

  • Baggage and personal effects delay, loss or damage

  • Accident and sickness medical expense

  • Emergency evacuation

  • And best of all - Cancel for Any Reason benefit*

    *Cancel for Any Reason benefit is not available in New York.

cancellation and refunds

Cancellation and refunds during the COVID-19 Pandemic

Due to safety concerns and the public health ordinances in force during the COVID-19 pandemic, the 2020 Ambassador Leadership Summits were cancelled. All participants enrolled in the 2020 programs were offered an option to transfer registration to the equivalent 2021 sessions. Should the participant cancel his/her registration at any date in the future, or should Ambassador Leaders cancel or not be able to operate the 2021 session for any reason whatsoever, the participant will receive a refund of all monies paid, less the $300 cancellation fee which was in effect for all 2020 participants prior to March 1, 2020, when Ambassador Leaders implemented a fee freeze to mitigate financial impact on families. The spread of COVID-19 occurred after significant investments had been made on behalf of participants. The $300 cancellation fee covers only a small portion of expenses incurred prior to the pandemic which Ambassador Leaders cannot recover. This fee will remain nonrefundable for participants who transfer to future sessions. The cancellation fees will increase closer to the new session date per the standard cancellation policy (refer to the table below).

If you wish to cancel your registration, you must provide written notice via email or mail. Refunds are calculated based on when the cancellation notice is received by the program office. Ambassador Leaders books accommodations and program activities in advance and incurs expenses on behalf of each participant long before the program start date. Accordingly, the following cancellation and refunds policy applies:

(1) Eligible refund amount is calculated by subtracting the cost of Travel Protection Plan (if applicable) and applicable cancellation fees from the total amount paid at the time of cancellation. When there is a transfer from one session to another,…

(1) Eligible refund amount is calculated by subtracting the cost of Travel Protection Plan (if applicable) and applicable cancellation fees from the total amount paid at the time of cancellation. When there is a transfer from one session to another, or from one travel year to another, any refund will be calculated based on the date of transfer from the original program date from which the participant is transferring (not the new program date) regardless of the reason for the transfer or cancellation.

(2) In order to exercise the Travel Protection Plan, you must have at least $527 paid on your account ($300 program tuition deposit and $227 Travel Protection Plan premium).

If another program date is available, we will attempt to transfer your registration to that program. Based on the non-recoverable costs, additional fees may apply for transfers close to the program start date and based on the price of the new program. Payments are transferable to a sibling or a family member if they register for the same session as the original registration.

Ambassador Leaders acts only as an agent in securing accommodations, transportation, sightseeing, speakers, and other program services, and is not liable for any acts or omissions of any third party, including, but not limited to, third-party contractors, suppliers, and vendors who render services in connection with the program. All accommodations, transportation, sightseeing, and other program services provided to participants are subject to all the terms and conditions under which they are offered by the third party. Ambassador Leaders, its employees and agents shall not be liable for any delay, failure to perform, loss, damage, expense, cost or injury to the extent such delay, failure to perform, loss, damage, expense, cost or injury is due to any event or circumstance beyond the reasonable control of such party (a “Force Majeure Event”), including, but not limited to, any acts of God, acts of civil or military authority, government regulations, embargoes, epidemics, nuclear accidents, war, terrorist acts, riots or insurrections; fires, explosions, earthquakes, hurricanes, tornadoes, floods, or similar occurrences; power blackouts affecting facilities; inability to secure products or services of third parties or transportation facilities, acts or omissions of transportation common carriers; labor disputes or unrest, lockouts, strikes or other industrial action, whether direct or indirect and whether lawful or unlawful; and failures or fluctuations in electrical power or telecommunications service or equipment. Ambassador Leaders shall not be liable for any additional expense incurred by a participant as a result of any of the foregoing causes.

Ambassador Leaders, its employees and agents reserve the right to refuse to accept or retain any person as a participant in any programs. Ambassador Leaders does not discriminate based on race, color, religion, sex, national origin, age, gender, sexual orientation, disability, or any other category protected by applicable law.

If a participant suffers from any condition that may restrict or interfere with their ability to participate in the program, an authorized individual will be required to accompany and assist the participant. Any and all expenses for the authorized assistant will be the responsibility of the participant, unless otherwise dictated by applicable law. The participant shall be solely responsible for administering, without supervision, any required medications, injections, or any other treatments. Program staff, teacher leaders, or any other third party will not hold or administer any medication or treatment that may be required for a participant, unless otherwise dictated by applicable law. The suitability of food products cannot be controlled or guaranteed during the program. All special dietary needs or monitoring of the contents of food products are the sole responsibility of the participant. Should a participant’s health or safety impede or impair the operation of the program or the rights, welfare, or enjoyment of other participants, Ambassador Leaders, its employees or agents shall have the right to terminate the participant’s participation, at its sole and absolute discretion, unless otherwise dictated by applicable law. If a participant’s participation in the program is terminated, any refunds will be determined in the sole and absolute discretion of Ambassador Leaders.

The participant (and parent or legal guardian if the participant is a minor) expressly acknowledges and understands that risks and dangers exist while traveling to/from or participating in the program, including, but not limited to, loss, injury, trauma, death, disability and/or damage. As a result, the participant (and parent or legal guardian if the participant is a minor) voluntarily accepts and assumes these risks and dangers whether known or unknown. As such, the participant (and, if a minor, his or her parent or guardian):

1.    Authorizes and consents to: (i) the participant’s participation in all activities provided and/or organized by Ambassador Leaders or its agents and employees; (ii) Ambassador Leaders providing or obtaining any required medical care and attention, and the participant (or parent or legal guardian if the participant is a minor) understands and assumes the financial responsibility for any such medical services and treatment, and (iii) Ambassador Leaders receipt, use, and release of any  health or medical information of the participant for the purposes of obtaining or providing medical care or attention.

2.    Releases, remises, acquits, indemnifies, holds harmless and forever discharges Ambassador Leaders, including all of Ambassador Leaders current or former officers, directors, shareholders, partners, members, managers, owners, trustees, administrators, agents, attorneys, accountants, insurers, representatives, employees, parent corporations, subsidiaries, affiliates, partners, successors, heirs and assigns (hereinafter “Released Party”) from any and all past, present and future claims, demands, actions, suits, damages, losses, liabilities, and causes of action, known or unknown, fixed or contingent, which is caused by, arises out of, or relates to the students participation in any program.

3.    Agrees that these Terms and Conditions bind your heirs, administrators, legal representatives and assigns.

use of name and likeness

The participant (and parent or legal guardian if the participant is a minor) hereby consents and irrevocably grants to Ambassador Leaders (and its subsidiary, associated, and affiliated companies, including each of their respective officers, directors, agents, and employees), as well as certain third parties who provide services on behalf of Ambassador Leaders, a royalty-free, worldwide right and license to use, incorporate, broadcast, distribute, photograph, film, videotape, record, reuse, publish, republish, exploit, adapt, modify, alter and/or edit, reproduce, publicly perform, and display his/her name, photograph, and photographic likeness, including still, moving and voice, image, comments, submitted documentation, written papers, biographical material, artwork, music, writing, endorsement, portrayal, and/or other visual or physical likeness, in all poses, acts, plays, and appearances, in whole or in part or composite or reproduction thereof, in any and all media now or hereafter devised (the “Materials”), in perpetuity by incorporating, without restrictions or limitation, the Materials into any product or service, whether electronically, digitally or in print, including, but not limited to, any marketing and advertising materials, publications, catalogs, brochures, books, magazines, photo exhibits, correspondence, motion-picture films, videotapes, commercials, informational or educational materials, and/or any other media, now known or later devised or developed.

USE OF personal information

To register in a program, you (or your parent or legal guardian on your behalf) will be required to share personal information with us, including, but not limited to, first and last name, home or physical address, telephone number, email address, school, grade in school, occupation, job title, and information about your job/occupation (“Personal Information”). We may retain and use that information for any lawful business purposes, including but not limited to sending you information about other programs, scheduling program activities for you, alumni listing or creating a directory of participants in your program. We may share Personal Information collected with certain third parties, including, but not limited to, our parent companies, subsidiaries, assigns, third-party service providers, and other past or prospective participants in the program. Information shared shall be limited based on the purpose for its disclosure. For example, alumni listing may be limited to participant’s name, year of participation, school, city and state.

applicable law/jurisdiction

All participants (or, if under the age of 18, your parent or legal guardian) understand and agree that the laws of the State of Washington shall govern any dispute, claim, disagreement, or controversy, in law or equity (collectively, “Claims”), arising out of or relating to: (1) the Terms and Conditions; (2) registration or participation in any program offered or activities provided, offered or organized by Ambassador Leaders or its agents; (3) the acts or omissions of Ambassador Leaders, its members, owners, insurers, parent companies, subsidiaries, affiliates, employees, agents, third party providers, vendors and representatives; and (5) any agreement with or services provided by Ambassador Leaders.

It is further understood and agreed that jurisdiction and venue for any proceeding arising out of or relating to any Claims shall be brought and maintained in the state or federal courts in Spokane County, Washington, exclusively, and the courts to which an appeal therefrom may be taken.
